Each clinician is required to complete an agreement. You will be given an individual login and password. Do not share these with others. All access activity is logged and you should be able to account for it if asked.

CHIP is also now available directly from your patient management system (PMS) — Medtech, My Practice and Profile. This means, if you have a BPAC account, you do not need to enter a user name or password.

When you click the CHIP link, you will be taken straight to the electronic record of the patient that you currently have open in your PMS.

Password Reset

The Self-Service Password Reset (SSPR) tool lets staff change or reset their password or unlock their account without involving an administrator or calling the Data & Digital Service Desk. You can do this from a mobile phone or any computer connected to the internet.

Working from home support

All working from home arrangements need to be approved by your manager.

Keep cyber secure at home

If using your own computer, make sure you have up-to-date anti-virus software installed.

  • Use a long password for your home router or modem such as “summertime1974!”.
  • Update iPads or other mobile devices with the latest upgrades.
  • Keep passwords and log-ins secure — do not share them or write them down.
  • Continue to be vigilant for scam and phishing emails — do not click on suspicious links, report them using the phishing button in Outlook.
  • Use multi-factor authentication for logging into regional systems via Citrix.
  • Do not forward documents to your personal email or home computer.

  • Use Outlook Web Access rather than using Outlook via Citrix.

Tips for keeping records safe

Mask fit testing booking

Mask fit testing assesses whether the wearer is obtaining a good seal between their face and the mask and minimising their risk of aerosol biohazard exposure. We are mask fit testing all patient-facing staff under the AS/NZs 1715*.

You will be provided with details of the successfully fitted mask make and model at the time of testing.

When you come to your appointment:

  • be clean-shaven
  • do not eat, drink, chew gum or smoke for at least 15 minutes before your test
  • bring the clean respirator and any filters you normally use (if applicable).

Moving and Handling Ka Nuku Nuku programme

These 90-minute practical and tailored workshops are designed for staff working with patients who require assistance with moving and transferring.

The objective is to raise the participant’s awareness of the factors that can lead to injury for themselves and their patients and to experience and apply safe handling principles to all their moving and handling tasks.

The recommendation is that staff from each department is trained together so that the skills acquired can be practised together following training.

  • Cause and effect of injury
  • LITE risk assessment and management
  • Principles of safe patient handling
  • How to move smart and safely – biomechanics
  • Area specific safe handling techniques, including theatre specific techniques such as lateral transfers prone positioning, limb holding
  • Dealing with patient falls
  • Equipment use such as slide sheets, handling belts, Pat slides, hovermat, hoist use
  • Stretches for injury prevention

Citrix provides access to intranet and all the programs you use on your work computer. You can access Citrix from your home computer or on an Android or Apple device.

The West Coast Self-Service Password Reset (SSPR) tool allows West Coast Health NZ staff to:

Access to email and Teams

The Microsoft 365 portal allows you to access:

  • emails
  • Teams
  • web versions of Office apps like Word and Excel
  • any documents you have saved anywhere in the M365 cloud.

Go to the Microsoft 365 portal and sign in with your email and your network password — for example, your.name@southerndhb.govt.nz.

You will need to have the Microsoft Authenticator app set up on a smart phone or mobile device. This is dual-factor authentication for security when accessing any Microsoft 365 tool remotely.
